Payout Reconciliation Workbook for Etsy, Stripe and PayPal

Your sales report says one number, your payouts say another, and your bank shows a third. This workbook lines them up month by month for Etsy, Stripe and PayPal, so you can see where the fees, refunds and holds went and which payouts have no matching bank deposit.

WHAT IT DOES

• Activity tabs for Etsy, Stripe and PayPal: paste or type your statement rows. Each row gets a month and a category (sale, refund, fee type, adjustment or payout) from keyword rules you can edit on Setup
• Monthly Summary: for each platform and month, gross sales, shipping and sales tax collected, refunds, fees by type, adjustments and reserves, expected payout, actual payout and matched bank deposit, with a flag on any difference
• Payout to deposit matching: each payout looks for a bank deposit with the same amount (within your tolerance) dated within a set window (5 days by default). Matches are one-to-one. A deposit that fits two payouts, or a payout that fits two deposits, is flagged for you to check instead of being counted twice
• Fee Summary: annual fees by category and platform, grouped into bookkeeping categories (merchant fees, advertising, shipping labels), with a check that the totals tie
• Two custom platforms: compare their payouts to bank deposits

• Dashboard: gross sales, total fees, refunds, net payouts, deposits matched and unmatched difference, a platform overview, a matching status panel, fees by platform by month, and gross vs net by month

Sample data covers three months for each platform, with a short payout, a missing deposit and a deposit with no payout built in so you can see the flags. Clear it before you start, and Start Here walks you through it. Formula cells are locked, so you won't overwrite them by accident.

WHAT IT DOES NOT DO

• It doesn't connect to any account. You paste or type your activity, payouts and deposits yourself.
• USD only.
• Payouts are grouped by payout month, so a payout that crosses a month end can show a difference that reverses the next month.
• Custom platforms have no activity tab. They compare payouts to deposits only.
• Holds up to 1,500 Etsy rows, 1,000 Stripe rows, 1,000 PayPal rows, 300 payouts and 300 bank deposits.
