A daily site diary plus a delay and extension-of-time log that works out the business-day deadline for each EOT claim and when the owner's response is due. It also prints a job's diary entries for a date range. Offline, no subscription.

When a job runs late, the diary is your record of what happened. Under QBCC domestic contracts, an EOT claim has to reach the owner in writing within 10 business days of you becoming aware of the cause and extent of the delay. This spreadsheet keeps the daily record and counts the business days for you.

What's inside

• Diary (2,000 entries). Each entry records: date, job, weather and rain (mm), whether the site was workable; crew numbers and hours, subbies and trades on site; work done, deliveries, visitors and inspections, instructions received; time lost and its cause, photo references; the date you wrote it. Entries written late, or with no "written on" date, are flagged.

• Delay & EOT Log (300 delays): Records cause, dates, days claimed, evidence, when you sent the claim and how, the owner's response and the days approved. Works out the claim deadline and the owner response due date in business days, skipping weekends and your Holidays list. Counts the business days left to send each claim. Counts the diary days that show a delay for that period. Status column: Send claim by…, NOTICE DEADLINE PASSED, Awaiting owner response, Owner response overdue, Approved / Part approved / Rejected, plus a flag when a claim was sent after the deadline.

• Jobs (100 jobs): contract completion date, approved EOT days, revised completion date (business or calendar days, your choice), days left, diary stats and an ACTION column.

• Holidays: pre-filled with Queensland public holidays for 2026–2027 from qld.gov.au. You can edit it for your state or add later years.

• Diary Printout: choose a job and a date range to list the entries with totals, e.g. to attach dates when rain stopped work to an EOT claim.

• Dashboard: jobs, claims to send, notice deadlines passed, responses awaited or overdue, EOT days claimed and approved, and late diary entries.

• Start Here guide, plus an EXAMPLE file and a BLANK file.

Works with: Microsoft Excel and Google Sheets (import). No macros, no subscription, and it works offline. Yellow cells are for typing; grey formula cells are locked, with no password.

Please note

• This is a record-keeping tool, not legal advice. It does not make a claim valid.

• Notice periods vary by contract and state. Set them on the Settings sheet and check your contract.

• The "written on" date is one you type in. It is not a tamper-proof timestamp.

• Photos are referenced by file or folder name, not stored in the file.

• Variation pricing isn't included. Use your contract's variation forms.

• Tested in LibreOffice and built only with functions that Excel and Google Sheets both support.

Licence: for use in your own business. Please don't resell or share the file.

FAQ

• Is it only for Queensland? No. The examples use the QBCC 10-business-day rule and QLD holidays, but you can change the notice periods and the holiday list.

• Does it check the weather for me? No. You type the weather and rainfall yourself. You could note the BOM figure if you want.

• Can I use it on my phone on site? It's a spreadsheet, so it's best on a laptop or tablet. Google Sheets on a phone works for quick entries, but sheet protection doesn't carry over.

• Is it a subscription? No. It's a one-off purchase and an instant download.
