Terms of Service

The below are the Terms of Service that apply to our products. By buying our products you agree to these terms of service.

1. Privacy Policy

1.1 Information we collect

When you place an order or contact us, we may collect:

  • Names and email addresses
  • Your Payhip order details (order ID, date, product purchased)
  • Any social media handles or contact information you provide
  • Uploaded files, videos, or images used for your edit
  • Creative preferences or other notes you share through our order form

 1.2 How we use your information

We use this information to:

  • Process and deliver your order
  • Communicate with you about your project
  • Provide customer support or revisions
  • Manage payments and refunds
  • Maintain internal records for tax and accounting purposes

We do not sell or share your personal information with any third party for marketing purposes.


1.3 How we store and protect your data

Your data is stored securely using Payhip’s systems, and where necessary, in our connected tools such as Google Drive or Gmail.

Only authorised personnel have access to client footage and personal data.

Uploaded footage and project files are deleted within 30 days of final delivery, unless otherwise agreed with the client.


1.4 Sharing your data

We may share limited information only with:

  • Payhip, PayPal, or Stripe – to process payments and fulfil legal obligations
  • Google – for secure file storage and transfer
  • All partners comply with GDPR or equivalent data protection standards.


1.5 Your Rights

Under UK data protection law, you have the right to:

  • Request access to your personal data
  • Request correction or deletion of your data
  • Withdraw consent at any time (this may affect our ability to complete your order)

We may update this Privacy Policy from time to time. The latest version will always be available on our Payhip store.

2. Scope of Service

Coldboxing provides custom video-editing services based on the footage, media, and creative direction supplied by the client.

The final product will reflect the footage quality and preferences submitted. This is a creative service, not a physical product.

3. Client Responsibilities

The client must:

• Provide original, uncompressed footage and confirm they own or have permission to use all media and music submitted.

• Ensure that upload links (e.g. Google Drive, WeTransfer) are accessible.

• Submit media and creative preferences within 48 hours of ordering.

coldboxing is not responsible for delays or issues caused by missing, corrupted, or low-quality media.

4. Intellectual Property & Usage Rights

The client retains ownership of their original footage. Coldboxing retains the right to use portions of completed edits for portfolio, social media, or promotional purposes, unless the client requests otherwise before delivery.

The completed edit is for personal and promotional use only and may not be resold or redistributed without written permission.

5. Limitation of Liability

Coldboxing will not be liable for any loss, damage, or claim arising from use of the final edit, or from technical issues beyond our control (e.g. platform outages, upload failures).

Liability is limited to the total amount paid for the specific order in question.

6. Chargebacks and Disputes

Clients agree to contact coldboxing directly to resolve any issues before initiating a chargeback through their payment provider.

Failure to do so may result in forfeiture of further service or future eligibility.

7. Refunds

Because each video edit is a custom creative service, refunds are only available in specific cases where the work cannot be completed.

Refunds will only be issued if we are unable to produce any usable edit with the media received.

This could happen if:

-     The visual quality or resolution of the clips/photos is too low for a satisfactory final product.

-     The preferences or creative direction requested are not achievable with the provided footage.

-     The files are corrupted, inaccessible, or incomplete.

To qualify for this right, media must be sent within 48 hours of placing the order.

If no usable footage is received within that time, the order will be considered fulfilled and non-refundable.

If we fail to deliver the completed edit within the agreed timeframe, the customer may choose either:

-     50% refund, but still receive the edit, or;

-     A full refund, with the edit not being sent.

 

Refunds are not available for:

-     Changes of mind after work has begun,

-     Dissatisfaction based on subjective or not-previously-mentioned preference once a draft or final edit has been delivered (the free revision is included in the order for this purpose),

-     Delays caused by the client in providing required materials or responses.

By placing an order, you acknowledged that you have read and agreed to these terms.

8. Governing Law

These terms are governed by and interpreted in accordance with the laws of England and Wales, and any disputes will be handled under that jurisdiction.
