Your reseller is offering Copilot at renewal and the board wants to know whether it's worth it. This Excel workbook gives you a straight answer in pounds, with no Microsoft marketing claims built in.

It uses Microsoft UK list prices checked on 21 October 2026. Copilot Business is £16.10 per user per month, or £13.80 on the promotion for purchases from 1 July to 31 December 2026 (first year only, annual commitment). Business Standard with Copilot is £18.10 and Business Premium with Copilot is £24.60. Every price is editable, so you can type in your CSP quote.

What you get:

- Break-even minutes per week for every role: how much time a seat must save to pay for itself

- Four licence routes compared per role: Copilot Business add-on, moving to Business Standard or Premium "with Copilot", or Microsoft 365 Copilot for enterprise

- Billing options: annual upfront, annual paid monthly (+5%) or monthly term

- Do nothing vs pilot vs targeted rollout vs everyone, with 3-year cost, value, net benefit, payback month and a sensitivity row (50% to 125% of your time-saved estimate)

- Costs people forget: training time, partner fees, a usage-based AI budget and IT admin time

- Year 2 priced at list, not the promo

- A one-page board summary with a recommendation and the dates that matter: the 31 Dec 2026 promo deadline, the 7-day cancellation window and the 300-user limit for Copilot Business

- Example file (a made-up 45-user firm) plus a blank file and a quick-start PDF

Value comes only from your own estimates of minutes saved and active use, so the case holds up when finance asks questions. Run a pilot, then put in the real figures.

Offline and private: no macros, no sign-in, no tenant access. Works in Excel 2016 or later, Microsoft 365, LibreOffice and Google Sheets.

Built for UK SMB owners, finance managers, IT leads and MSPs preparing a Copilot proposal for 5 to 300 users.

This is a planning tool, not licensing advice. Check terms with your reseller.

FAQ

Does it connect to our tenant? No. You type in headcount and seats yourself.

Where do the productivity numbers come from? From you. The tool shows break-even and sensitivity, so you can see how much the answer depends on your estimate.

Is the £13.80 price permanent? No. Microsoft's promotion runs from 1 July to 31 December 2026, applies to the first year only and needs an annual commitment. The workbook uses £16.10 from year 2.

Can MSPs use it with clients? Yes. Duplicate the blank file for each client.
