1. Who we are
Barlings KWA Limited (company number 09094283) is the controller of the personal information described in this notice.
Registered office: C/O Xtract Accounting Limited, The Terrace, Grantham Street, Lincoln, Lincolnshire, England, LN2 1BD.

This notice applies when you visit or buy from the Barlings KWA online store hosted by Payhip, contact us about a purchase, or receive store communications from us.
2. Information we collect
Depending on how you use the store, we may collect:
- your name and email address;
- billing details and limited payment information, such as payment status and transaction references;
- products purchased, order dates, prices, tax information, download and licence records;
- messages, support requests, complaints and other correspondence;
- marketing choices, cookie choices and review information;
- technical and usage information made available through Payhip, such as IP address, device or browser information and store activity.
Payment-card details are submitted directly to Stripe. We do not receive or store your complete card number or security code.
3. How and why we use your information
We use personal information to:
- process purchases and provide access to digital products;
- identify the licensed purchaser, apply document-protection measures and manage download limits;
- provide customer service and deal with technical or suitability queries;
- maintain accounting, tax, transaction and business records;
- prevent fraud, misuse, unauthorised distribution and security incidents;
- establish, exercise or defend legal claims;
- send marketing communications where you have actively chosen to receive them;
- understand and improve store use where you have consented to analytics cookies.
Our lawful bases are:
- contract, where processing is necessary to supply a purchased product or provide related support;
- legal obligation, including tax, accounting and regulatory requirements;
- legitimate interests, including operating and securing the store, preventing misuse, keeping appropriate business records and protecting our legal rights, where those interests are not overridden by your rights;
- consent, for optional marketing and non-essential analytics cookies. You may withdraw consent at any time.
If information needed to complete a purchase is not provided, we may be unable to process the order or deliver the product.
4. Who receives your information
We share information only where reasonably necessary with:
- Payhip Ltd, which hosts the store, manages checkout and digital delivery, and provides customer and transaction administration;
- Stripe, which processes card payments and carries out payment-security and fraud checks;
- our accountants, professional advisers, IT and email service providers;
- regulators, tax authorities, courts, law-enforcement bodies or other authorities where required by law or necessary to protect legal rights.

We do not sell personal information.
5. International transfers
Some service providers may process information outside the United Kingdom. Where a restricted international transfer takes place, we rely on the safeguards or other lawful transfer mechanism used by the relevant provider, such as an adequacy regulation or approved contractual protections. Further details are available in the providers’ privacy notices linked above.
6. How long we keep information
We keep information only for as long as reasonably necessary for the purpose for which it was collected, including legal, tax, accounting and dispute requirements.
- Order, invoice, licence and payment-status records are normally kept for at least six years from the end of the relevant accounting period.
- Payhip may retain certain digital-product transaction information for longer where required for VAT administration; its privacy notice currently describes a period of up to ten years for relevant EU VAT records.
- Support or contractual correspondence is normally kept for up to six years after the matter is resolved. General enquiries that do not lead to a purchase are normally deleted sooner.
- Marketing contact details are kept until consent is withdrawn or the information is no longer needed. We may retain a minimal suppression record so that we respect an unsubscribe request.
Information may be kept longer where a dispute, investigation or legal requirement makes this necessary.
7. Cookies and analytics
The store uses essential cookies and similar technologies needed for functions such as security, checkout, basket operation, download access and remembering cookie choices. These do not require consent where they are strictly necessary to provide the service requested.
Optional analytics cookies are disabled until you select Accept analytics cookies. You can continue using the store without accepting analytics cookies. We do not currently use Google Analytics, Meta Pixel or other third-party advertising trackers on the Payhip store.
If you have accepted optional cookies and later wish to withdraw your choice, you can clear the store cookies through your browser settings or contact us for assistance. You can also block or delete cookies using your browser controls, although blocking essential cookies may prevent parts of the store from working.
We will update this notice if our use of cookies or analytics services changes.
8. Marketing
We send product updates or offers only where you have actively opted in or where another lawful basis permits the communication. You can unsubscribe at any time using the link in a marketing email or by contacting william@barlingskwa.co.uk. Unsubscribing from marketing does not stop service messages about an order or download.
9. Your data protection rights
Subject to the conditions and exceptions in data protection law, you may have the right to:
- request access to your personal information;
- ask us to correct inaccurate or incomplete information;
- ask us to erase information;
- ask us to restrict how information is used;
- object to processing based on legitimate interests or to direct marketing;
- receive certain information in a portable format;
- withdraw consent at any time where processing relies on consent.
To exercise a right, email william@barlingskwa.co.uk. We may need to verify your identity before acting on a request. There is normally no charge, and we will respond within the period required by law.
You may complain to the UK Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/ if you are unhappy with how we use your information. We would appreciate the opportunity to address your concern first.
10. Automated decisions
Barlings KWA Limited does not use personal information to make solely automated decisions that have legal or similarly significant effects. Stripe or other payment providers may use automated systems for fraud prevention and payment security under their own privacy notices.
11. Security
We use appropriate organisational and technical measures to protect personal information. Online transmission and storage cannot be guaranteed completely secure, but we limit access to those who need the information and use reputable service providers for store hosting and payment processing.
12. Changes to this notice
We may update this notice when our services, providers or legal obligations change. The latest version will be displayed on this page with its updated date.
