At The Pattern Scribe, we respect your privacy and are committed to protecting your personal information.

When you purchase a digital crochet pattern through Payhip, we process relevant order information to:

  • Complete your purchase and provide digital downloads.
  • Manage customer enquiries.
  • Maintain appropriate business records.
  • Comply with applicable accounting and legal requirements.

Payments are processed by the relevant payment provider.

We do not receive or store your full payment-card details.

  • Membership-related customer support correspondence.

Membership payments and subscriptions are managed through Payhip and its payment providers.

We use this information to administer your membership and provide access to eligible benefits.

5. Mosaic Crochet Toolkit

The Mosaic Crochet Toolkit is a web-based service that helps crocheters manage projects, follow patterns and track their progress.

When you register, we collect information necessary to create and manage your account.

Depending on how you use the Toolkit, you may choose to save:

  • Project names and descriptions.
  • Written pattern PDFs and crochet charts.
  • Project photographs.
  • Yarn information and measurements.
  • Row progress and completion records.
  • Chart markers, annotations and calibration settings.
  • Interactive pattern information and crochet-related notes.

Your uploaded files remain your property. Uploading them does not transfer copyright or ownership to The Pattern Scribe.

Project files are held in private cloud storage with account-based access controls.

The Toolkit uses Lovable Cloud for account management, application functionality, project data and file storage.

Free and Pro Subscriptions

The Toolkit offers Free and paid Pro access.

Pro subscription payments are processed through Stripe. We receive the information necessary to manage subscription status and access, but not your full payment-card details.

7-Day Free Pro Trial

Eligible Toolkit users may choose to activate a one-time, 7-day free Pro trial.

No payment card is required, and no automatic payment is taken when the trial ends.

To administer the trial, we process information including:

  • Trial eligibility and previous trial usage.
  • Activation and expiry dates.
  • Trial access status.
  • Trial notification and dismissal preferences.

The trial begins only when you choose to activate it.

After seven days, Pro trial access expires automatically unless you have purchased a subscription or hold another valid Pro entitlement.

Existing projects, uploaded files and saved progress are not automatically deleted when the trial ends.

Free-plan restrictions then apply to further use of Pro-only features.

You may choose to purchase a Pro subscription separately through Stripe.

Complimentary Pro Access

We may occasionally provide complimentary Pro access as part of events, promotions or customer arrangements.

We process the information necessary to allocate, verify and expire this access.

Complimentary Pro access does not automatically create a paid subscription.

Voice Controls

Where voice controls are used, speech recognition is provided through browser or device services.

The Toolkit does not intentionally record or retain voice audio on its own servers.

Your browser or device provider may process speech information according to its own privacy arrangements.

6. Advent Calendar and Giveaways

The Pattern Scribe organises seasonal activities, including 24 Days of Mosaic Magic.

When you register for the Advent calendar, we collect your email address and optional first name to:

  • Manage registration and access.
  • Provide requested Advent communications.
  • Deliver event information and benefits.
  • Assist with registration enquiries.

Newsletter Consent

Participation in the Advent calendar is separate from subscribing to our general marketing newsletter.

You may choose whether to receive additional marketing emails.

Declining newsletter consent does not prevent you from participating in the Advent calendar.

Registering for Advent alone does not automatically enrol you in ongoing promotional newsletters.

Giveaways and Prize Draws

Where an Advent activity includes a prize draw or giveaway, we may collect information necessary to:

  • Confirm eligibility.
  • Record qualifying entries.
  • Select and contact winners.
  • Arrange prize delivery.
  • Prevent duplicate or invalid entries.
  • Demonstrate that the promotion was administered fairly.

Additional information, such as a postal address, may be requested from winners where necessary to deliver physical prizes.

The applicable giveaway terms explain the relevant eligibility requirements, dates, prizes and selection arrangements.

Advent Data Retention

Advent-only registrations

Personal information held solely for Advent registration will be deleted or anonymised within 90 days after the calendar ends, by 24 March 2027, unless further retention is legally required.

Where a person has independently subscribed to our newsletter, that subscription and relevant consent records are managed separately.

Giveaway entries

Personal information collected specifically for Advent prize draw entries will be deleted or anonymised within 90 days after prize fulfilment, unless further retention is required by law.

Limited records needed to demonstrate the fair administration of prize draws may be retained for up to 12 months.

Vouchers and reward claims

Day 6 voucher allocations and Days 12, 16 and 24 reward-claim records may be retained for up to 12 months after the calendar ends.

These records are used for administration, customer support, voucher reconciliation and preventing duplicate claims.

We aim to remove identifying information once it is no longer required for these purposes.

7. EmailOctopus and Marketing

We use EmailOctopus to manage email communications.

Our audience may include:

  • Crochet pattern customers.
  • Crochet Club members.
  • Mosaic Crochet Toolkit users.
  • Advent calendar participants.
  • People who independently subscribe to our newsletter.

We use contact tags and subscription information to manage relevant communications.

These may include NEWS, Advent 2026 and Crochet APP.

General marketing emails are sent only where we have an appropriate lawful basis, including consent where required.

You can unsubscribe from marketing emails using the unsubscribe link provided.

Withdrawing general marketing consent does not necessarily stop essential communications about purchases, accounts, memberships or services you have requested.

We may retain limited suppression records where necessary to respect unsubscribe requests.

8. Why We Use Your Information

We process personal information under the lawful bases provided by UK data protection law.

Performance of a contract

To provide digital purchases, memberships, Toolkit accounts and features, and other services you have requested.

Legal obligations

To comply with applicable tax, accounting and other legal requirements.

Legitimate interests

To provide customer support, maintain service security, prevent fraud, manage legitimate business operations and administer services where those interests are not overridden by your rights and freedoms.

Consent

Where required for marketing communications and optional analytics technologies.

Where we rely on consent, you may withdraw it at any time. This does not affect processing lawfully carried out before withdrawal.

9. Service Providers

We use selected third-party providers to operate our business.

These include:

  • Payhip: Digital pattern sales, downloads and Crochet Club membership management.
  • Stripe and other supported payment providers: Payment and subscription processing.
  • Lovable Cloud: Application hosting, authentication, databases and file storage.
  • EmailOctopus: Email subscriptions, communications and consent management.
  • Google Analytics: Optional website and Toolkit usage analytics, where enabled.
  • Google Fonts: Typography used within our websites and applications.

Providers may process information necessary to deliver their services.

Some act as processors on our behalf, while others may act as independent controllers for particular activities, such as payment processing.

Their own privacy notices provide further information about their handling of personal data.

We do not sell personal information to advertisers.

10. Cookies and Analytics

Our websites and applications may use cookies or similar technologies.

Some are necessary for:

  • Account sign-in and authentication.
  • Security and session management.
  • Remembering essential settings.
  • Providing requested application functionality.

We may also use optional analytics technologies to understand how visitors use our services.

The Mosaic Crochet Toolkit uses Google Analytics, configured to begin tracking only after the visitor accepts the relevant analytics consent notice.

Visitors may reject optional analytics and continue using the Toolkit.

Other providers, including Payhip and payment services, may operate their own cookie notices and controls.

Where required, we obtain consent before using non-essential cookies or similar technologies.

11. International Data Transfers

Some of our service providers operate internationally.

This means personal information may be processed or accessed outside the United Kingdom.

Where a restricted international transfer takes place, we seek to ensure an appropriate legal transfer mechanism applies.

Depending on the circumstances, this may include UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to approved contractual clauses or another applicable lawful mechanism.

You may contact us for further information about the arrangements relevant to your personal information.

12. How Long We Keep Information

We retain personal information only for as long as necessary for its intended purpose, subject to applicable legal obligations.

Purchases and payments

Relevant transaction and accounting information is retained for the periods required by applicable tax and accounting laws.

Crochet Club memberships

Membership information is retained as necessary to manage subscriptions, customer enquiries, outstanding transactions and applicable legal obligations.

Mosaic Crochet Toolkit

Account information and saved projects are generally retained while an account remains active.

Cancelling Pro or completing a free trial does not automatically delete projects or uploaded files.

Uploaded PDFs and photographs

Uploaded files are retained as part of the Toolkit service, subject to account management, deletion requests and applicable legal obligations.

Deleting a project record does not currently guarantee that every associated PDF or photograph is automatically removed from cloud storage.

We are reviewing this process. You may contact us to request deletion of associated files.

Email subscriptions

Newsletter information is retained while the subscription remains active, subject to applicable retention requirements.

Limited consent or suppression records may be kept where necessary to demonstrate compliance or respect subscription preferences.

Advent registrations, giveaways and rewards

Advent-only registration details are deleted or anonymised within 90 days after the calendar ends.

Giveaway personal details are deleted or anonymised within 90 days after prize fulfilment.

Limited giveaway audit records, voucher allocations and relevant reward-claim information may be retained for up to 12 months, as explained in Section 6.

Customer correspondence

Customer enquiries are retained only for as long as reasonably necessary to resolve the matter, maintain relevant business records or meet legal requirements.

You may contact us to request deletion of your account or personal information, subject to applicable legal exceptions.

13. How We Protect Information

We use reasonable technical and organisational measures appropriate to the information and services we operate.

These include, where applicable:

  • Account authentication.
  • Access controls.
  • Private cloud file storage.
  • Restricted database permissions.
  • Secure payment processing through established providers.
