Privacy Policy
Last updated: September 2026
This policy explains how The Productive Plans collects and uses personal information when you visit our website, join the T.P.P Club, receive our emails or contact us.
Who we are
The Productive Plans is based in the United Kingdom.
Email: hello@theproductiveplans.com
Information we collect
The information we collect depends on how you interact with us. It can include:
- Contact details: your name, email address and billing information.
- Purchase and membership details: your chosen plan, payments, trial status, renewals, cancellations and order references.
- Support information: messages, feedback, screenshots or files you send when asking for help.
- Member contributions: template requests, votes and community contributions connected to your account.
- Email preferences: subscriptions, consent records and unsubscribe requests.
- Technical information: information generated through our website and service providers, such as IP addresses, browser details and interactions with content.
We receive information directly from you and through the services we use, including Payhip and Flodesk.
Payment details are handled by the payment provider used at checkout. We receive the transaction information needed to manage your purchase, rather than your full payment-card number.
If information is necessary to process a subscription or provide a requested service, we will identify it when collecting it. Without that information, we may be unable to fulfil your request.
How and why we use your information
We use personal information to:
- Set up and administer your membership.
- Deliver digital resources, tutorials and product support.
- Manage payments, trials, renewals and cancellations.
- Provide member voting and respond to template requests.
- Send essential account and membership messages.
- Answer enquiries and resolve complaints.
- Send marketing emails where you have opted in.
- Maintain business records and protect our services.
Our lawful bases are:
Contract: where information is needed to provide your membership or take steps you request before subscribing.
Legal obligation: where we must retain or use information to meet legal requirements, such as tax and accounting obligations.
Legitimate interests: where necessary to answer general enquiries, protect the business, maintain security or manage disputes. We consider your rights and interests when relying on this basis.
Consent: for optional marketing emails and any tracking activities that require consent. You can withdraw consent without affecting the lawfulness of earlier processing.
Email marketing
We use Flodesk to manage our mailing list and send marketing emails.
If you opt in, we may send product announcements, offers and news about The Productive Plans. You can unsubscribe using the link in a marketing email or by contacting hello@theproductiveplans.com.
Unsubscribing from marketing does not cancel your membership. We may still send essential messages about your account, payments and the membership you purchased.
Flodesk provides email delivery and engagement information, which can include whether emails were delivered, opened or clicked. The tracking used, its purpose and any applicable choices must reflect the settings and consent arrangements in place.
Files shared for product support
If you send a spreadsheet, planner, screenshot or other file for support, we will use the information it contains to investigate and respond to your request.
Where possible, send a blank example or remove information that is not needed. Please do not send passwords, full payment-card details or unnecessary sensitive information.
Any access you grant to a cloud-based file depends on its sharing permissions. Please check those permissions before sharing it with us.
Who we share information with
We use providers that help us operate the business:
- Payhip: our store, membership area, subscription administration and digital delivery.
- Flodesk: mailing-list management and email campaigns.
- Payment providers: payment processing and related transaction administration.
- Business email and other operational providers: handling enquiries and administering the business.
We may also provide relevant information to professional advisers or authorities where necessary for legal advice, a dispute or compliance with the law.
Some providers process information on our behalf. Others also act as independent data controllers for their own activities, as explained in their privacy notices:
Member contributions
If a feature allows you to share comments, requests or other contributions with members, information you post may be visible to that audience.
Please avoid including confidential information or personal information about other people in shared spaces.
International processing
Some providers process personal information outside the United Kingdom, including in the United States.
International processing must comply with applicable data protection requirements. Depending on the provider and destination, the relevant arrangements may include UK adequacy regulations or approved contractual safeguards.
How long we keep information
We decide retention periods according to the purpose of the information, applicable recordkeeping requirements and any need to handle complaints or legal claims.
- Membership records are retained to administer your account and resolve outstanding membership matters.
- Transaction records are retained for applicable tax and accounting requirements.
- Support messages and files are retained while handling the enquiry and for any justified follow-up or dispute period.
- Marketing information is retained while needed for your subscription. Limited unsubscribe information may be retained to prevent further marketing.
- Votes, contributions and activity records are retained according to the purpose of the feature and the settings of the service used.
When information is no longer needed, it should be deleted or anonymised. Providers acting as independent controllers may apply their own retention periods.
Cookies and similar technologies
Cookies are small files placed on your device. Similar technologies can also be used in websites, embedded videos and emails.
Our Payhip store uses technologies to support functions such as account access, checkout and security. Other features may use technologies for preferences, analytics or video playback.
Where consent is legally required, it must be obtained before the relevant technology is used. Publishing this policy does not itself give permission to use optional tracking.
You can also manage cookies through your browser. Blocking technologies needed for account access or checkout may prevent those features from working.
YouTube tutorials
Our tutorials are hosted on YouTube.
When you follow a link to YouTube, Google processes information under its own privacy policy. Embedded videos may also communicate with Google and use cookies or similar technologies.
Security
We are responsible for taking appropriate measures to protect the personal information we handle.
Please keep your account login secure and contact us if you believe your information or membership account has been accessed without permission.
Your privacy rights
Depending on applicable law and the circumstances, you may be entitled to:
- Access your personal information.
- Correct inaccurate information.
- Request deletion.
- Restrict how information is used.
- Object to processing based on legitimate interests.
- Receive certain information in a portable format.
- Withdraw consent where processing relies on it.
You can object to direct marketing at any time.
Some rights have conditions or exceptions. For example, we may need to retain particular records to meet a legal obligation.
To make a request, email hello@theproductiveplans.com. We may ask for information reasonably needed to verify your identity. We will respond within the applicable legal timeframe and explain any relevant extension or exception.
Questions and complaints
Please contact hello@theproductiveplans.com if you have a question or concern about your information.
You can also raise a complaint with the UK Information Commissioner’s Office:
Contact the ICO or make a complaint
Where applicable, you may contact the data protection authority in your country of residence.
Changes to this policy
We will update this policy when our practices change and revise the date above. We will draw significant changes to your attention where appropriate.
A policy update does not replace any requirement to obtain consent before starting a new use of your information.
