Freelance Service Business Kit: Pricing & Invoices
Freelance service business kit for editors, social media managers, designers, and consultants: pricing worksheet, client CRM, proposal, scope of work, invoice tracker with overdue flags, and client emails. Excel, Google Sheets, Word, PDF.
Running a service business means a lot of loose ends: a price you set by guessing, a lead you forgot to follow up, a "quick extra revision" that turned into a day's work, an invoice nobody chased, and no clear idea what came in and went out this year. This kit puts the whole client cycle in one workbook, flags what needs attention, and gives you the documents you send at each step.
What's inside
• Freelance Business Planner (Excel / Google Sheets) with a Dashboard: received, expenses, and net this year, what's owed and overdue, and everything needing attention.
• Pricing worksheet: works out a cost-based floor rate from the pay you want, your costs, a buffer, and the hours you can really bill. Market rates you've researched sit in a separate section and are never averaged in.
• Service menu (30 packages): what's included, revisions, turnaround, hours, and direct costs. Each price is compared with your floor and your research, separately: below cost floor, above or below your researched range, or OK.
• Pipeline / CRM (200 leads): stage, source, estimated value, and next follow-up date, with overdue follow-up flags.
• Clients (100): payment terms, agreement signed, onboarding status, invoiced, paid, balance, and overdue amount.
• Projects (150): fee, dates, status, revisions used vs included, approved change orders, and what's left to invoice.
• Change orders: extra fee and days, with follow-up prompts while you wait for approval.
• Invoices (300) and payments (400): due dates from terms, part payments, and flags for due soon, due today, and overdue.
• Expenses (400) with business % for mixed-use costs and receipt reminders, plus a month-by-month income and expense summary (cash basis) and an optional rough tax set-aside reminder.
• Testimonial tracker: who you asked, status, and permission to publish. No testimonials are included or invented.
• Check flags on every tab for typos, duplicate IDs, and names that don't match, all counted on the dashboard.
• Pricing and service menu guide (PDF + Word).
• Proposal template, scope of work and change order templates, invoice template (PDF + Word).
• Client onboarding checklist and intake questionnaire.
• Services agreement template: a plain-language starting point, NOT legal advice.
• 17 emails: outreach, follow-ups, discovery call, proposal and proposal follow-up, welcome, change order, payment reminders, project wrap-up, testimonial request, and permission to publish.
• Start Here guide and User Guide.
• A completed FICTIONAL example: a made-up podcast editing business with a filled-in workbook, proposal, scope of work and change order, and invoice.
• License and changelog (v1.0).
Who it's for: freelancers and small service businesses, including podcast and video editors, social media managers, designers, consultants, and creators who sell services.
What it isn't: it doesn't send invoices, take payments, or connect to your bank. It's not accounting software, and the summary isn't tax advice. The agreement template isn't legal advice; have it reviewed where you work. Nothing here promises clients or income: the floor rate shows what your own numbers need, not what clients will pay. The example business and its numbers are fictional and aren't typical rates or income.

FAQ
Q: Does it work in Google Sheets?
A: Yes. Unzip on a computer, upload the .xlsx to Google Drive, open it, then choose File > Save as Google Sheets. The formulas use only functions that Excel, Google Sheets, and LibreOffice all support. Charts may look slightly different after conversion.
Q: Will the pricing worksheet tell me what to charge?
A: It tells you the lowest hourly rate your own numbers need (your cost-based floor) and shows the market rates you've researched next to it, separately. The price is your decision. It can't predict what clients will pay or how much work you'll get.
Q: Is the services agreement legally valid?
A: It's a plain-language starting point, not legal advice. Contract rules differ by country, state, and province and by the kind of work. Have it reviewed by a lawyer where you operate.
Q: Can it send invoices or take payments?
A: No. Use the invoice template (or your accounting or payment app) to send invoices, and log them in the workbook to track due dates, payments, and overdue balances.
Q: Is this accounting or tax software?
A: No. It's a simple tracker for running the business day to day. The income and expense summary is cash basis, and the tax set-aside is a rough reminder, not tax advice.
Q: Are there sample testimonials I can use?
A: No, on purpose. The kit includes a testimonial request email, a permission email, and a tracker. Only publish a client's exact words, with their permission.
Q: I charge hourly, not packages.
A: Add one service menu row per hourly service with 1 estimated hour and your hourly rate as the price.
Q: Can I send clients the proposals and invoices I make with it?
A: Yes. The license covers the documents you create and send to your clients. The blank kit files stay with your business.
Q: Can I get a refund?
A: No refunds on digital downloads. These are instant digital downloads, so all sales are final. If a file is broken, missing, or won't open, email info@thecigarguys.com and we'll fix or replace it.
Q: Will I get updates?
A: Yes. When the kit is updated, the new file replaces the old one in Payhip. You can download it again from your purchase link or customer account, and CHANGELOG.txt lists what changed.
Q: How do I get support?
A: Email info@thecigarguys.com with your order email and the file you're asking about.
