IEP Meeting Recap for Families AI Prompt: Follow-Up Email Draft, High School
Families leave IEP meetings with a lot to remember and not always a clear written path. I built this prompt to speed up my own follow up emails. You type in de identified meeting notes, paste it into the AI tool your district allows, and get a first draft of a warm, plain language recap: decisions, next steps, and who does what.
What the prompt gives you back (8 labeled sections):
• A PII check, so the AI flags anything identifying before it writes
• A subject line a family would open (no student name)
• A warm greeting
• A meeting snapshot with roles only
• Decisions in plain words
• Next steps with who / what / when
• What we still need from the family or team, including TEAM INPUT NEEDED when notes are thin
• A closing that reminds you the draft is not prior written notice
What's inside:
• The copy ready prompt, as a PDF page and a plain text file that copies cleanly
• How to use it with ChatGPT, Claude, Grok, or Gemini
• A NO STUDENT PII guide with quick de identify swaps
• An IEP Meeting Notes Worksheet that matches the prompt's 5 brackets
• A Weak vs. Strong input guide
• 2 real sample outputs from Claude (fictional meetings, unedited)
• A review checklist for AI drafts before the email goes to families
Great for:
• Case managers sending a clear follow up after annuals, amendments, and transition meetings
• Transition coordinators who need a warm recap without rewriting the whole IEP in an email
• Anyone who wants families to leave with decisions and next steps in plain words
Please note: never enter student names or identifying information. Follow your district's AI and data privacy policy. Outputs are drafts for the IEP team. This is not legal advice. This email draft is NOT prior written notice and is NOT a substitute for required PWN or the official IEP document. Do not treat the draft as a finished or "compliant" parent notice.
