View the ready-to-use Excel tracker
Start with a blank Excel sheet and one row for each invoice. The formulas below show what’s still due and flag late payments. You can use this starter straight from the page.
1. Set up row 1
A1 — Invoice number
B1 — Client
C1 — Due date
D1 — Invoice total
E1 — Paid to date
F1 — Balance due
G1 — Status
Enter the first invoice in row 2. Enter the due date as an Excel date and the money amounts as numbers. You can format columns D through F as euro currency.
2. Calculate the balance in F2
=IF(D2="","",MAX(0,ROUND(D2-E2,2)))
3. Show the status in G2
=IF(F2="","",IF(F2=0,"Paid",IF(C2="","Open",IF(C2<TODAY(),"Overdue",IF(C2=TODAY(),"Due today","Open")))))
Copy cells F2 and G2 down for as many invoices as you need. If Excel rejects the commas, use the list separator set in your region, commonly a semicolon.
Try it with a €720 invoice. Enter €250 in Paid to date and Balance due shows €470. If another €200 arrives, change Paid to date to €450 and the balance drops to €270. Enter the running total each time. Use one currency per sheet.
