Overdue invoice email templates for freelancers

Before you send a reminder, check the due date and whether any payment has arrived. Include the balance still due so a client who paid a deposit knows exactly what remains.

First reminder after the due date

Subject — Quick reminder about invoice [number]

Hi [name],

I’m checking in on invoice [number], which was due on [date]. The remaining balance is [amount]. I’ve attached a copy of the invoice for reference. Could you let me know when payment is expected?

Thanks,

[Your name]

Second reminder when you’ve had no reply

Subject — Payment date for invoice [number]

Hi [name],

I’m following up on my message from [date] about invoice [number]. The outstanding balance is [amount]. Could you confirm a payment date by [day]? If the invoice is with someone else for approval, please let me know who I should contact.

Thanks,

[Your name]

Use the remaining balance in both emails

For a €720 invoice with €250 already paid, ask about the remaining €470. Record when you sent the last reminder so you know when to follow up again.

The Excel tracker keeps the invoice number, amount received, due date and remaining balance together. Use the Preview link on the product page to try it with up to 10 invoices for free.
