Hotel Pre-Opening Master Toolkit – Excel & Word Templates (EN/VI)

This toolkit is for general managers, opening managers and owners who have to open a hotel, resort or serviced-apartment building and need one plan to run it. You choose the tier, property type and facilities once on the Inputs tab. The workbook then builds a task list counted back from your opening date, with owners, deadlines, licences, hiring waves, a pre-opening budget and a Go/No-Go audit. The Word manual explains how to use each part and how a task-force GM runs the opening. Everything comes in English and Vietnamese.

How it works

1. Open the Inputs tab. Enter the project name, opening date, tier, property type, keys and facility switches (blue cells).
2. Read the Dashboard. It shows weeks to opening, gates, headcount, budget and open risks.
3. Work from Critical Path each week. Update the status column. Dept_Summary shows overdue and critical open tasks.
4. Plan hiring on Manning and budget on Preopening_Budget and OS&E. Register licences, systems and handover tests.
5. Run the Go-No-Go audit at gates T-4 and T-1 before you release the opening date.

Good to know

The sample project, figures, dates, wage grades and rates are illustrative. Money examples use VND and the licence tab uses Vietnamese legal references as an example set. FAQ

Do I need special software? Excel (Windows or Mac) or LibreOffice Calc for the workbooks, and Word for the manuals.

Does it work in Google Sheets? You can upload the files to Google Sheets. The formulas are standard, but I have not tested every feature there. The workbooks were recalculated in LibreOffice with no formula errors. Use Excel for the best result.

Can I edit it? Yes. Blue cells are inputs. You can change tiers, tasks, owners, ratios and rates.

Does it include real licence rules for my country? No. The Licences_VN tab is an example set with Vietnamese references. Replace it with your own list and verify local requirements.

Is it only for luxury hotels? No. It has five tiers from Midscale to Ultra-Luxury and three property types: city hotel, resort and serviced apartment.
