Full description

For financial controllers, hotel general managers, internal auditors and cashier supervisors who need to show that every petty cash fund is intact. Each fund holds a fixed imprest. The workbook logs vouchers, IOUs and reimbursement claims, and proves each balance at any date: cash + vouchers not yet claimed + claims in transit + open IOUs = imprest. A surprise count log compares the cash counted with the books and reports over and short amounts against a tolerance. Formulas flag missing receipts, vouchers over the limit, split vouchers, self-approval and approval overdue, age open IOUs into buckets, and compare monthly spend by category with its limit. Printable count and reimbursement forms are included.

Save with a bundle: this workbook is also in the F&B Control & Audit Pro Bundle, 25 workbooks for $59 instead of $310. All 100 Pro workbooks are in the Pro Library for $119, and all 241 templates and workbooks are in the Ultimate Hospitality Library for $149.

How it works

  1. Set the funds, imprest amounts, voucher limits, categories, monthly limits and thresholds on Assumptions.
  2. Log every voucher. Add the claim number when a voucher is claimed and the IOU number on settlement vouchers.
  3. Record IOUs, reimbursement claims and each surprise count.
  4. Read Fund_Proof for expected cash, vouchers on hand, claims in transit, open IOUs and the last count result for each fund.
  5. Print the count sheet or claim form from Forms, and confirm that Checks shows ALL OK.

Good to know

  • Sample data is illustrative. Replace it with your own figures.
  • A flag is a reason to review a voucher or a fund, not proof of loss. The workbook is a control tool, not legal, audit or accounting advice.
  • Limits, tolerances and timing rules are editable inputs. Verify local requirements for cash handling and record keeping.
  • Single-user license. Do not redistribute.

FAQ

How many funds can it handle?

Up to 10 funds, each with its own imprest amount and single-voucher limit.

How does the balance proof work?

Expected cash = imprest less vouchers not yet claimed, claims in transit and open IOUs. A surprise count enters the cash counted, and the difference is the over or short amount.

Does it detect split vouchers?

Yes. It adds up vouchers from one fund to one payee inside your window that sit between a share of the limit and the limit, and flags the voucher that takes the total past the limit.

Can I use my own categories and currency denominations?

Yes. There are 12 category slots with monthly limits, and the denominations on the count sheet are inputs.

Does it need macros or add-ins?

No. Every result is a standard worksheet formula.
