Full description

For banquet managers, executive chefs, food and beverage controllers and general managers who sign off production numbers every day. The workbook logs each event's booking estimate, final guarantee, overset applied, actual attendance and leftover count, then measures guarantee accuracy by client segment, event type and size band. Over-production is costed from portion standards on 24 items and 8 menu sets. The recommended overset for each size band is the show-up overrun (actual / guarantee - 1) at a service level you choose, found with PERCENTILE and tested by replaying your own events and across ten service levels. Production_Plan turns upcoming guarantees into portions and a quantity for every menu item.

Save with a bundle: this workbook is also in the F&B Control & Audit Pro Bundle, 25 workbooks for $59 instead of $310. All 100 Pro workbooks are in the Pro Library for $119, and all 241 templates and workbooks are in the Ultimate Hospitality Library for $149.

How it works

  1. Set the billing basis, tolerances, waste target and your current overset policy by event size on Assumptions.
  2. Enter portion standards, unit costs and sell prices for each menu set on Menus.
  3. Log events on Event_Log: booking estimate, guarantee, overset applied, actual attendance, leftover counted and reused.
  4. Read Guarantee_Accuracy and Waste_Variance, then pick a scenario and read the recommended overset and back-test on Overset_Model.
  5. Enter upcoming events on Production_Plan to get portions and item quantities.

Good to know

  • Sample data is illustrative. Replace it with your own figures.
  • The recommended overset is a statistical guide from your own history. It is not food safety advice. Verify local requirements for holding and reusing leftovers, and check billing terms against your event contracts.
  • Results are only as good as the attendance and leftover counts you record.

FAQ

How many events do I need?

At least 10 per size band; the workbook keeps your current policy for a band with fewer events. More events give steadier percentiles.

What is the service level?

The share of past events whose attendance stayed within the recommended overset. At 90%, about one event in ten would have needed more food than the recommendation provides.

Can I change the event types, segments and menu sets?

Yes. Rename the drop-down values on Assumptions and the menu sets on Menus; every table reads those lists.

Does it cover buffets?

Yes. Each menu set has a presentation allowance that adds food to keep a buffet looking full, and it flows into cost and quantities.

Does it need macros or add-ins?

No. Every result is a standard worksheet formula, including the sensitivity grid.
